For example, you may decide to use SharePoint Online and Skype for Business but not necessarily Exchange for email in office 365 because you may have your own Exchange Server. Even if you are using your email in Office 365, you may find it convenient to use the Outlook client application that is included in Microsoft Office because it will allow you to manage all your emails in one place. For example, you can use Post Office Protocol (POP) to add your business email from Office 365 and all your personal emails, such as Gmail, Outlook.com, etc. Here are the step-by-step instructions on how to configure POP in Outlook client.<\/p>\n<h4><strong>Configuring POP for Office 365 Email<\/strong><\/h4>\n<ol>\n<li>In Outlook 2016, go to File -&gt; Info -&gt; Account Settings -&gt; Account Settings.<\/li>\n<li>On the E-mail tab click <strong>New<\/strong>.<\/li>\n<li>On the Auto Account Setup screen select <strong><em>Manual setup or additional server types<\/em><\/strong> and then click <strong>Next<\/strong>.<\/li>\n<li>On the Chose Service screen select <strong>POP or IMAP<\/strong> and then select <strong>Next<\/strong>.<\/li>\n<li>On the POP and IMAP Account Settings screen enter the information as necessary. The following screen shows an example for user Bill Gates. Enter your name and email address and password and use the following information for incoming and outgoing mail servers and then click <strong><em>More Settings<\/em><\/strong>.<br \/>\nIncoming mail server: <strong>outlook.office365.com<\/strong><br \/>\nOutgoing mail server (SMTP): <strong><\/strong><strong>smtp.office365.com<\/strong>&nbsp;<\/p>\n<p><a href=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_01.png\"><img decoding=\"async\" class=\"alignnone size-full wp-image-6479\" src=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_01.png\" alt=\"O365_POP_Setup_01\" width=\"679\" height=\"483\" srcset=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_01.png 679w, https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_01-300x213.png 300w\" sizes=\"(max-width: 679px) 100vw, 679px\" \/><\/a><\/li>\n<li>On the <strong>General tab<\/strong> of the Internet E-mail Settings type a name for the mail account. I usually enter the user name and then in parenthesis enter the type of email (e.g. Gmail, Outlook.com, Office 365, etc.). Click the <strong>Outgoing Server<\/strong> tab before you click OK.<br \/>\n<a href=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_02.png\"><img decoding=\"async\" class=\"alignnone size-full wp-image-6484\" src=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_02.png\" alt=\"O365_POP_Setup_02\" width=\"389\" height=\"438\" srcset=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_02.png 389w, https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_02-266x300.png 266w\" sizes=\"(max-width: 389px) 100vw, 389px\" \/><\/a><\/li>\n<li>On the Outgoing Server tab make sure the box <strong>My outgoing server (SMTP) requires authentication<\/strong> and the radio button <strong>Use same settings as my incoming mail server is checked<\/strong> and then click the <strong>Advanced<\/strong> tab.<br \/>\n<a href=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_03.png\"><img decoding=\"async\" class=\"alignnone size-full wp-image-6481\" src=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_03.png\" alt=\"O365_POP_Setup_03\" width=\"388\" height=\"436\" srcset=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_03.png 388w, https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_03-267x300.png 267w\" sizes=\"(max-width: 388px) 100vw, 388px\" \/><\/a><\/li>\n<li>On the Advanced tab, use the following information.<br \/>\n<span style=\"text-decoration: underline;\">Server Port Numbers<\/span><br \/>\nIncoming server (POP3): <strong>995<br \/>\n<\/strong>This server requires an encrypted connection (SSL): checked<br \/>\nOutgoing server (SMTP): <strong>587<br \/>\n<\/strong>Use the following type of encrypted connection: <strong>TLS<\/strong><span style=\"text-decoration: underline;\">Server Timouts<\/span><br \/>\nAccept the default value.<span style=\"text-decoration: underline;\">Delivery<\/span><br \/>\nSelect the options as necessary. If you are not sure then accept the default setting. I prefer to clear the box next to <em>remove from server after<\/em> <em>X day<\/em>s and clear the box next to <em>Leave a copy of messages on the server<\/em> because once I have read my messages in Outlook I don&#8217;t want clutter my Outlook.com or Gmail account on the server.<a href=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_04.png\"><img decoding=\"async\" class=\"alignnone size-full wp-image-6482\" src=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_04.png\" alt=\"O365_POP_Setup_04\" width=\"388\" height=\"437\" srcset=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_04.png 388w, https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_04-266x300.png 266w\" sizes=\"(max-width: 388px) 100vw, 388px\" \/><\/a><\/li>\n<li>Click <strong>OK<\/strong> then click <strong>Next<\/strong>.<\/li>\n<li>If the information you entered is correct, Outlook will test the configuration and if successful you will see the status for the test as Completed.<br \/>\n<a href=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_05.png\"><img decoding=\"async\" class=\"alignnone size-full wp-image-6486\" src=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_05.png\" alt=\"O365_POP_Setup_05\" width=\"485\" height=\"250\" srcset=\"https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_05.png 485w, https:\/\/www.zubairalexander.com\/blog\/wp-content\/uploads\/2015\/11\/O365_POP_Setup_05-300x155.png 300w\" sizes=\"(max-width: 485px) 100vw, 485px\" \/><\/a><\/li>\n<li>Click <strong>Close<\/strong> and then click <strong>Finish<\/strong>.<\/li>\n<\/ol>\n<blockquote><p><strong>Configuring IMAP for Office 365 Email<\/strong><\/p>\n<p>To configure IMAP for Outlook.com, use the same configuration as POP except for the following. In step 5 change POP to <strong>IMAP<\/strong>. Use the following information for server name, port and encryption method.<\/p>\n<p style=\"padding-left: 30px;\">Server name: <strong>outlook.office365.com<\/strong><br \/>\nPort: <strong>993<\/strong><br \/>\nEncryption method: <strong>SSL<\/strong><\/p>\n<\/blockquote>\n<h4><strong>Configuring POP for Gmail<br \/>\n<\/strong><\/h4>\n<p>To configure POP for Gmail, use the same steps as above in <em>Configuring POP for Office 365 Email<\/em>, except for the following.<\/p>\n<ul>\n<li>In step 5, use the following:<br \/>\nIncoming mail server: <strong>pop.gmail.com<br \/>\n<\/strong>Outgoing mail server (SMTP): <strong>smtp.gmail.com<br \/>\n<\/strong>Change the Email Address and User Name accordingly (e.g. <strong>BillG@Gmail.com<\/strong>).<strong><br \/>\n<\/strong><\/li>\n<li>In step 6, change BillG (Office 365) to <strong>BillG (Gmail)<\/strong>.<\/li>\n<\/ul>\n<h4><strong>Configuring POP for Outlook.com<\/strong><\/h4>\n<p>To configure POP for Outlook.com, use the same steps as above in <em>Configuring POP for Office 365 Email<\/em>, except for the following. Notice that Outlook.com uses Live, instead of Outlook, for the POP and SMTP servers.<\/p>\n<ul>\n<li>In step 5, use the following:<br \/>\nIncoming mail server: <strong>pop3.live.com<br \/>\n<\/strong>Outgoing mail server (SMTP): <strong>smtp.live.com<br \/>\n<\/strong>Change the Email Address and User Name accordingly (e.g. <strong>BillG@Outlook.com<\/strong>).<strong><br \/>\n<\/strong><\/li>\n<li>In step 6, change BillG (Office 365) to <strong>BillG (Outlook.com)<\/strong>.<\/li>\n<\/ul>\n<h4><strong>Additional Reading<\/strong><\/h4>\n<p>You may also be interested in reading the following related articles.
